Privacy policy
Last updated: 28 October 2026
This policy explains what personal information EBGRPHX collects when you use this website or work with us, why we collect it, and the choices you have. We keep it short and only collect what we need to reply to you and deliver your project.
1. Who we are
EBGRPHX is a trading name of EB Trainers Limited, a company registered in England and Wales (company number 16338695). Registered office: 61 Bridge Street, Kington, HR5 3DJ, United Kingdom.
We are the data controller for the personal information described in this policy. You can contact us about anything in it:
- Email: ebtrainersltd@gmail.com
- Post: EB Trainers Limited, 61 Bridge Street, Kington, HR5 3DJ, United Kingdom
2. What we collect
When you send an enquiry
Through our “Start a project” form we collect your name, email address, your Instagram handle or store link (if you add one), the service you’re interested in, your message, and whether you’ve told us you’re an EBT member.
When you become a client
To design and build your store or content we may collect your contact details, business name, invoicing details, the content you give us (logos, product photos, text), and access to your Shopify store or social accounts that you choose to share with us.
When you pay
Payments are handled by Stripe. Stripe collects your card details directly; we never see or store your full card number. We receive confirmation of the payment, the amount, your name and email address.
When you visit the website
Our hosting provider, Cloudflare, automatically processes technical information such as your IP address, browser type and the pages you request, to deliver the site and protect it from abuse. We may use Cloudflare Web Analytics to count visits; it does not use cookies or track you across other websites.
3. How and why we use it
Under UK data protection law we must have a lawful basis for using your information. We use it to:
- Reply to your enquiry and send you a quote: our legitimate interest in responding to people who contact us, and steps you ask us to take before entering a contract.
- Deliver your project, communicate with you about it and take payment: to perform our contract with you.
- Apply the EBT member discount: if you tell us you’re an EBT member, we may check this against EB Trainers’ membership records so we can apply the 10% discount. This is in our legitimate interest and yours.
- Keep business and tax records: to comply with our legal obligations.
- Keep the website secure and working: our legitimate interest in running a safe, reliable site.
- Show your project in our portfolio: only with your permission. You can ask us to remove it at any time.
We will only send you marketing emails (such as offers or news) if you have agreed to receive them, and every email will include a way to opt out.
4. Who we share it with
We never sell your personal information. We share it only with the service providers we need to run the business, who process it on our instructions:
- Cloudflare: website hosting, security and analytics
- Google (Gmail / Google Workspace): email
- Stripe: payments
- Shopify: where we build or edit your store on your Shopify account
- Our accountants and professional advisers, where needed
We may also share information if the law requires it, or to protect our rights.
This website loads its fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with Google when you visit.
5. International transfers
Some of our providers (for example Cloudflare, Google and Stripe) may process information outside the UK, including in the United States. Where this happens, we rely on UK adequacy regulations (such as the UK Extension to the EU–US Data Privacy Framework) or approved safeguards such as the UK International Data Transfer Agreement or Addendum.
6. How long we keep it
- Enquiries that don’t turn into a project: up to 12 months, then deleted.
- Client and payment records: 6 years after the end of the financial year they relate to, as required for tax and accounting.
- Access to your Shopify store or accounts: removed when your project ends. We recommend you also remove our access from your account settings.
- Website logs: kept by Cloudflare for a short period for security purposes.
7. Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- object to, or ask us to restrict, how we use your information;
- ask us to transfer your information to another organisation;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email ebtrainersltd@gmail.com. We’ll respond within one month. There’s no charge in most cases.
If you’re unhappy with how we’ve handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.
8. Cookies
This website does not use advertising or tracking cookies. If we add any in the future, we’ll update this policy and ask for your consent where required. When you click through to pay, Stripe may use cookies that are necessary for secure payment and fraud prevention.
9. Security
We use reputable providers, secure connections (HTTPS) and strong account security to protect your information. No method of sending information over the internet is completely secure, but we take reasonable steps to keep your information safe.
10. Children
Our services are for businesses and adults. We do not knowingly collect information from anyone under 16.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
